Grind Calibration

Office coffee changes with bean age, humidity and machine wear, so a set grind is only right for a short while. We calibrate grind size and dose to keep cups balanced, day after day, in South African workplaces.

Grind Calibration

What grind calibration covers in your office

Grind calibration is the practical adjustment of grind size, dose and brew time so your coffee tastes the same from the first cup to the last. In an office, that means checking how the grinder is performing on your actual water, machine and beans, then setting it for a cup that is not too bitter, not too thin and not inconsistent from shift to shift.

We work with espresso setups, batch brew systems and bean to cup machines used in meeting rooms, kitchens and staff areas. Where needed, we also check basket fill, tamp pressure, shot timing and extraction yield. For offices near the coast, especially in Cape Town and Gqeberha, we allow for the effect of coastal humidity on grind behaviour and bean storage.

  • Grind size assessment for espresso, filter or batch brew
  • Dose checks and output weight testing
  • Extraction timing and flavour balance review
  • Adjustment for bean age, humidity and daily use

How we set the grind for consistent flavour

We start by tasting the current brew and measuring what the grinder is producing. Then we work through small adjustments until the cup lands where it should, with clean sweetness, enough body and steady aftertaste. If the coffee is running too fast, the grind is usually too coarse. If it is dragging or tasting harsh, the grind may be too fine or the dose too heavy.

The process is methodical because coffee at work has to cope with load-shedding, morning rush periods and staff who use the machine in different ways. We do not leave a setting at a guess. Once the brew is dialled in, we mark the settings and note the key numbers so future checks are quick.

  • Initial tasting and machine inspection
  • Adjustment of grind steps in small increments
  • Target brew ratios and shot or brew time set
  • Final cup tasting and written handover notes

Specifications we check during calibration

Different equipment asks for different settings, but the numbers matter. For espresso, we usually aim for a double shot output of around 36 to 42 grams from 18 to 20 grams of coffee, depending on the blend or single-origin used. Brew time is often targeted at 25 to 32 seconds for espresso, while filter and batch brew are set by contact time and drawdown rather than pressure.

We also review water quality, since hard water can flatten flavour and leave scale in the machine. In many offices the issue is not only the grinder but the mix of grinder, dose, water and maintenance. If the machine is not clean or the burrs are worn, a calibration alone will not hold for long.

  • Grind particle size matched to brew method
  • Dose weight checked in grams, not guesswork
  • Shot time or brew time recorded
  • Water temperature and basic water quality reviewed

What is included in a calibration visit

A standard visit covers the grinder settings, the brew outcome and the practical points that keep the setting stable through the week. We can also brief staff on what to watch for when the flavour starts drifting, so small issues are picked up before the coffee becomes patchy.

If your office runs on subscriptions or has several brewing points, we can calibrate each unit separately. A kitchen on the fourth floor may behave differently from a smaller wellness room setup on another level, especially when staff use different cups, milk volumes or pre-set brew buttons.

  • One on-site calibration per grinder or brew point
  • Basic cleaning and burr inspection
  • Adjustment notes for ongoing use
  • Staff handover on correct daily checks

Turnaround for offices in Cape Town and beyond

Most offices can be seen within 2 to 5 working days, depending on location and the number of machines that need attention. In Woodstock and the wider Cape Town area, turnaround is often quicker. For Johannesburg, Pretoria, Durban and Gqeberha, we schedule by route and service load, then confirm the visit through the enquiry form on our contact page.

If a grinder is badly out of range or the burrs are worn, we will advise whether a same-day recalibration is enough or if a replacement part is needed. We try to keep downtime low so your team can carry on with normal service, especially where the coffee point supports meetings and reception traffic.

  • Cape Town metro visits can often be booked sooner
  • Out of town jobs are scheduled by route
  • Urgent issues are assessed first by phone free notes in the enquiry form
  • Repairs or part swaps are quoted separately if needed

Pricing approach and maintenance intervals

Pricing is based on the number of grinders, the brewing setup and whether the job is a once-off correction or part of a scheduled maintenance plan. We quote clearly before work starts, with no hidden extras. If a site has multiple coffee points, we can price by unit or by monthly support, whichever is simpler for your accounts team.

For most offices, a calibration every 4 to 8 weeks keeps flavour steadier, especially where consumption is high or the coffee rotates seasonally. In lower-volume spaces, every 8 to 12 weeks is often enough. Coastal offices, venues with heavy staff use and sites that run through load-shedding on backup power may need checks more often.

  • Once-off calibration for a single machine or grinder
  • Monthly or bi-monthly maintenance plans available
  • Multiple sites can be bundled for easier budgeting
  • Maintenance intervals set to your usage and bean rotation

Why steady calibration matters at work

Good coffee is not only about the bean. If the grind drifts, the same coffee can taste sour one week and flat the next. That creates complaints, more milk added to cover bitterness, and more waste from cups people do not finish. A proper calibration keeps the office cup more predictable and helps staff trust the brew point again.

At A Cup Of, we roast single-origin coffees and support workplaces across South Africa with practical coffee service. Grind calibration is one of the simplest ways to protect flavour and keep the daily brew paying its way. It is a small service, but it makes a big difference to the cup in the morning and after lunch too.

Questions we get asked

Do you calibrate only espresso machines?

No. We calibrate espresso, filter and batch brew setups, as well as bean to cup office machines where grind control affects flavour.

How do I know if the grind has drifted?

Common signs are faster shots, sour or bitter flavour, weak body, more crema breakdown, or cups that taste different from one day to the next.

Can you set a schedule for regular checks?

Yes. We can build calibration into a maintenance plan so the grinder is checked at the right interval for your office use and bean rotation.
